Privacy Policy

Last updated: 27 June 2026

SiteCheck ("SiteCheck", "we", "us", "our") is committed to protecting your privacy. This policy explains what information we collect when you use sitecheckau.com and our biodiversity screening tool, how we use it, who we share it with, and how you can contact us about it.

This policy is written to reflect what we actually do, not a generic template. If any part of our process changes, we will update this page.

1. What We Collect

When you submit a site for screening, apply for beta access, or contact us, we collect:

2. How We Use Your Information

We use the information you provide to:

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

3. Where Your Data Is Stored and Processed

SiteCheck uses a small number of trusted third-party service providers to operate. Each handles a specific part of the process:

ProviderPurposeWhat they receive
RailwayRuns our screening applicationYour submission data, processed temporarily during analysis
Cloudflare (R2)Stores generated reports and source datasetsYour completed report files (Word document, maps, GeoJSON)
ResendSends confirmation and report delivery emailsYour name and email address
StripeProcesses paymentYour payment details (Stripe is PCI-DSS compliant; we never see or store your card number)
NetlifyHosts our website and contact formContact form submissions
FormspreeHandles beta application submissionsBeta application form details

All providers above are reputable, established services with their own privacy and security obligations. We have selected providers that store data within secure, encrypted infrastructure.

4. How Long We Keep Your Information

Completed screening reports (Word document, PDF maps, GeoJSON data) are retained permanently in our secure cloud storage, so that you can request a copy of a past report at any time. Your contact details associated with a submission are retained for as long as your report is retained, unless you ask us to delete them.

If you would like your data deleted, contact us at info@sitecheckau.com and we will action this within a reasonable timeframe, subject to any legal or accounting obligations to retain transaction records.

5. Quality Assurance Review

Before any report is delivered to you, it is reviewed by a member of the SiteCheck team for accuracy and quality. This means your submission details and generated report are visible internally to our review team prior to delivery. This step exists to ensure the quality and accuracy of every report and does not involve sharing your information outside SiteCheck.

6. Government and Public Data Sources

SiteCheck's screening process queries publicly available NSW Government spatial datasets (such as the Biodiversity Values Map, BioNet, and NSW Cadastre) and the iNaturalist community science database. These queries use only the location of the site you submit — your personal contact details are never sent to these external data sources. Information returned from these sources is publicly available environmental and ecological data, not personal information about you.

7. Cookies and Analytics

Our website may use standard, minimal cookies necessary for the site to function correctly (such as remembering form progress). We do not currently use third-party advertising or tracking cookies.

8. Your Rights

Under the Australian Privacy Principles, you have the right to:

To exercise any of these rights, contact us at info@sitecheckau.com. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

9. Security

We take reasonable technical and organisational steps to protect your information, including encrypted data storage, secure payment processing through Stripe, and access controls limiting who can view submitted data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security, but we are committed to protecting your information to industry standard.

10. Changes to This Policy

We may update this policy from time to time as our service evolves. The "Last updated" date at the top of this page will reflect the most recent change. Continued use of our service after a change constitutes acceptance of the updated policy.
